The single most common mistake in event AV is a mismatched PA system. A tiny PA in a large room means audio that's straining at maximum output, distorted and thin. An oversized line array in a hotel breakout room means audio set to 15% of capacity, sounding muffled and undefined. Neither delivers what the event needs — and both are avoidable with a little sizing math up front.
This guide walks through how professional AV engineers size a PA system: how to think about room, audience, and program material, and how to pick speakers that will actually deliver.
The three variables that matter
PA sizing is a function of three inputs:
- Room size and acoustics. Volume of the space, distance from FOH to the back wall, reflectivity of surfaces.
- Audience count. How many people you're covering. More bodies absorb more sound.
- Program material. Speech-only vs. music vs. live band. Music (especially bass-heavy music) requires substantially more system than speech.
Get any of these wrong and the system either underperforms or wastes money. Let's take each in turn.
Room size and acoustic character
Rooms fall into rough acoustic categories:
Small (under 1,500 sq ft). Conference rooms, small classrooms, intimate wedding ceremonies. A single powered speaker (QSC K10.2 or similar) usually covers this. Bass response is fine for speech; add a small subwoofer only if playing music.
Medium (1,500–5,000 sq ft). Hotel ballrooms, mid-size event spaces, larger classrooms, most wedding receptions. A pair of QSC K12.2 speakers on stands, possibly with a single 18" subwoofer for music playback.
Large (5,000–15,000 sq ft). Large ballrooms, small concert venues, large conference halls. Multiple K12.2s or a step up to line array elements (QSC KLA series or similar). Dedicated subs required for anything with music.
Very large (15,000+ sq ft). Concert halls, arenas, outdoor stages. Real line arrays with dedicated processing, delay towers, ground-stacked subs. This is the professional touring-scale category.
Acoustic character modifies these baselines. A room with hardwood floors, glass walls, and high ceilings needs less amplification (sound bounces around and reinforces itself) but more processing (to control the reflections). A room with heavy carpet, drapes, and acoustic paneling needs more amplification (sound is being absorbed) but has cleaner definition.
Audience count and coverage
People absorb sound. A room that sounds great with a soundcheck team of five will sound different when 200 warm bodies are seated. The general rule: each attendee absorbs roughly 0.3–0.5 sabins of sound absorption (varies with clothing and room). A 200-person audience adds substantial absorption to any room.
Coverage-wise, the practical guideline for speech at events:
- Up to 50 people: single speaker at head-height, aimed at the back of the audience
- 50–150 people: stereo pair on stands, flanking the presentation area
- 150–400 people: stereo pair with delay speakers if the room is long, plus subwoofer
- 400–1,000 people: line array elements with dedicated processing
- 1,000+: professional line array touring rig
These are speech-focused numbers. Live music at the same attendance level requires the next size up.
Program material: the multiplier
Speech is easy. The dynamic range is limited, the frequency content is centered in the vocal band (roughly 300 Hz to 3 kHz), and the peak requirements are modest. A PA that comfortably delivers speech at a certain SPL will struggle to deliver music at the same SPL because music has much higher peak-to-average ratios and requires substantial low-frequency reproduction that speech doesn't need.
Rules of thumb by program material:
Speech only (keynote, panel discussion, wedding ceremony): Baseline system. No subwoofer needed. Focus on midrange clarity.
Speech plus background music (cocktail hour, dinner reception): Baseline system plus a modest subwoofer (single 15" or 18") for playback fullness.
DJ or dance music (wedding reception, party): Substantial system with dedicated subwoofers. Music-oriented PA needs 2–3x the SPL headroom of speech.
Live band or full-range music (concert, worship band): Full production PA with subwoofers, stage monitors, and proper input channels for each instrument.
SPL targets by event type
Sound pressure level (SPL, measured in decibels) is the concrete measurement of how loud the system needs to be at the listener position. Practical targets:
- Conversation / meeting: 60–65 dB SPL average
- Presentation / keynote: 70–80 dB SPL average, peaks to 90 dB
- Wedding reception background music: 75 dB SPL average, peaks to 85
- Wedding reception dance music: 85–95 dB SPL average, peaks to 105
- Live band / concert: 95–110 dB SPL average, peaks to 115+
A speaker's specified "max SPL" is measured at 1 meter. Every doubling of distance drops SPL by 6 dB. A speaker rated for 130 dB max SPL will only deliver about 112 dB at 15 feet — still very loud, but the number shrinks fast with distance.
Coverage patterns matter
Speakers don't project sound equally in all directions. Every professional speaker has a specified horizontal and vertical coverage pattern, usually given as an angle (e.g., "75° x 60°"). The horizontal number tells you how wide the sound spreads left-to-right; the vertical tells you how tall the pattern is.
Practical implications:
- A wide-coverage speaker (90° or 100°) is right for a wide, shallow room. It fills side seats without projecting too far.
- A narrow-coverage speaker (60° or 75°) is right for a long, narrow room. It throws sound farther back without dumping energy into side walls.
- Two speakers in a stereo pair should have their coverage patterns just barely overlap in the middle of the audience — not so much that they interfere, not so little that there's a hole between them.
Subwoofers: when you need them, when you don't
Subwoofers add low-frequency extension below what full-range speakers can deliver — typically below 80 Hz. You need one when:
- Playing recorded music (any modern recording has content down to 40 Hz)
- Reproducing acoustic bass, kick drum, or synthesized bass
- The room requires the "physical impact" of low frequency (weddings, concerts, worship)
You don't need one for speech-only events. A subwoofer's job is fullness and impact, not intelligibility. Adding one to a speech PA is mostly wasted rental cost.
Delay speakers: solving long-room problems
Rooms longer than ~60 feet often need "delay speakers" — additional speakers placed halfway back in the audience, electronically delayed so their sound arrives at listeners in sync with sound from the main PA. This solves two problems: rear-of-audience listeners hear appropriate level without punishing the front of house, and everyone hears the same coherent mix rather than a slap-back echo.
Delay speakers require proper electronic delay (a DSP or a mixer with delay capability) and careful measurement (measure the acoustic distance from mains to delay position, calculate the delay in milliseconds, program it in). Half-configured delay speakers make things worse, not better.
Common sizing mistakes
Buying more speakers than needed. "We might as well have extra headroom" leads to a PA that's oversized for the room, runs at low percentage, and sounds muddy because it's not being pushed enough.
Underestimating dance music. A wedding sound package that's fine for the ceremony is often undersized for the reception dance floor. Discuss dance music intensity when sizing.
Ignoring the room's acoustic character. A perfectly-sized PA in an acoustically-terrible room still sounds bad. Sometimes the money is better spent on modest acoustic treatment than on a bigger PA.
Placing speakers on the floor. Speakers at ear height are always better than speakers at ankle height. Use stands, table risers, or elevated positions.
