Not all AV rentals are equal — even at the same price. Two vendors can quote you "a PA and two wireless mics" and deliver wildly different results. Here's how to tell what you're actually renting before you sign the agreement.
Speakers: what matters
Power rating (RMS, not peak)
Speaker specs advertise peak wattage because it's a bigger number. What matters is RMS power — the continuous output the speaker can sustain. A "2,000W peak / 500W RMS" speaker is fundamentally different from a "2,000W RMS" model. Ask.
SPL and coverage
Max SPL (sound pressure level) tells you how loud the speaker can get without distortion. 130 dB max SPL handles a 250-person event with headroom. 120 dB is borderline for anything above small gatherings.
Coverage angle matters more than people realize. A 75° horizontal coverage pattern serves a wider room; a 60° pattern throws sound farther but needs to be aimed more carefully.
Powered vs. passive
Powered speakers (QSC K12.2, JBL EON, RCF ART) have built-in amplifiers — plug in power, plug in signal, done. Passive speakers require a separate amp rack. For most rentals, powered is simpler and just as good.
Ask about model, not "a speaker"
Any legitimate AV rental will name the exact model. "QSC K12.2" is a specific speaker with known specs. "A powered 12-inch speaker" is not — it could be a great one or a $200 no-name that has no business at a real event.
Wireless microphones: what matters
Analog vs. digital
Digital wireless (Shure SLXD, QLXD, ULXD; Sennheiser EW-DX) is the current standard. It rejects RF interference better, has cleaner audio, and doesn't have the "companding" artifacts of analog. Analog wireless still works but should be a discount option, not a premium one.
Frequency band
The FCC has taken away frequency bands over the years. Cheap 2.4 GHz "wireless" microphones share airspace with Wi-Fi and get destroyed at events with heavy phone use. Professional wireless operates in UHF (typically 500–600 MHz). Ask which band the vendor uses.
Handheld, lav, or headset
Match the mic style to the use case:
- Handheld (Shure SM58 wireless, Beta 58A): best rejection, most feedback-resistant, but presenter has to hold it.
- Lavalier (small clip-on): hands-free, but more prone to clothing rustle and lower gain-before-feedback.
- Headset (over-ear boom mic): best for fitness instructors, worship leaders, or any presenter who moves around.
Batteries
Ask: are batteries included? Fresh AA lithiums or rechargeables? A cheap vendor will hand you dead alkaline batteries and blame you for dropouts. Insist on fresh batteries and confirm it in writing.
Backup channels
Every event should have at least one spare wireless channel on a different frequency, ready to swap in if the primary fails. If the vendor is providing only exactly as many mics as you need, they're setting you up for a bad day.
The rental agreement
Read the actual paperwork. Look for:
- What's included: cables, stands, batteries, cases. Missing items on delivery are common with cheap vendors.
- Damage responsibility: what counts as damage vs. wear, and how it's assessed.
- Late return fees: and when the clock starts.
- Insurance requirements: some rentals require you to carry short-term insurance.
- Delivery / pickup terms: if the vendor is bringing gear, when do they arrive and when do they leave?
Questions to ask before booking
- Exactly what model of speakers and mics are you providing?
- What's included in the rental (cables, stands, batteries)?
- Do you provide a backup wireless channel?
- What happens if a piece of gear fails during my event?
- Is delivery, setup, and pickup included, or extra?
- What's your damage and late-return policy?

Wireless frequency coordination
Every wireless microphone operates on a specific radio frequency. In a room with multiple wireless microphones — a corporate event with 6 lav mics on panel members, a wedding with 3 wireless mics, a worship service with a wireless-heavy band — those frequencies have to be coordinated so they don't interfere with each other. This is called frequency coordination, and it's the difference between wireless that works and wireless that mysteriously drops out.
What good coordination looks like:
- Each microphone is on a unique frequency, separated by enough megahertz that they don't create intermodulation distortion (a physics phenomenon where two clean frequencies interact to create noise on a third frequency).
- The frequencies chosen are clear at the venue location — no local TV stations, wireless mic systems from adjacent rooms, or other RF sources on the same channels.
- Coordination is done in advance using free tools like Shure's Wireless Workbench or Sennheiser's Wireless Systems Manager.
A rental vendor that says "we'll just set the frequency at the event" is not doing frequency coordination. When you're renting multiple wireless mics for the same event, ask specifically how the vendor coordinates frequencies. The right answer includes tools, testing, and pre-event verification.
What happens if gear arrives broken
Gear fails. Boxes get dropped in transit. A wireless microphone that worked yesterday might not work today. The rental vendor's response to broken gear on your event day is the truest test of how professional they are.
Questions to ask before renting:
- Do you test gear before delivery? Every rental should include a bench test before it leaves the vendor's warehouse. Wireless systems paired and checked, cables continuity-tested, speakers powered on. This catches maybe 90% of failures before they become your problem.
- Do you include backup gear? For critical items (main wireless, main mixer, main speakers), does the rental include a backup unit or spare? For weddings and corporate events, this shouldn't be an upsell — it's basic reliability.
- What's the on-site support? If a piece of gear fails at 6pm on a Saturday, is anyone reachable at the vendor's number? Some rental companies close on weekends. That's fine for retail; not fine for event rentals.
- What's the replacement policy? If the vendor delivers gear that turns out to be broken, is there a same-day replacement, a refund, or "sorry, better luck next time"?
These questions rarely come up in normal conversation, but the answers tell you exactly what will happen if something goes wrong. And with rental gear, something occasionally goes wrong.
